What is a lend-out shift? 🤔

A lend-out shift is a shift that has been assigned an employee and placed in another department. In SameSystem, lend-outs can be planned in many different ways, depending on what suits your situation best:

  • Lend out an employee for a single shift, with specified start- and end times

  • Lend out an employee for a single shift, with no specific start- and end time (allowing the other department to set the start- and end time)

  • Lend out an employee for a selected period of time


How to plan a lend-out with specified start- and end time

Start by navigating into your schedule, and create a shift as if it was a normal shift belonging to your own department. Enter the correct start- and end time for the lend-out, and remember to set the correct break time (0 minutes if no break).

Click on the Lend out button below the green shift timeline, to convert it to a lend-out shift:

A stippled border will surround the shift, and its color will become light green, to indicate you are now working with a lend-out shift:

Continue by selecting which department the shift should be lent to:

Press Submit once you've checked that the start-, end,- and break time is correct, and belongs to the right department ✔️

The shift will turn into a grey color in the schedule to indicate it is a lend-out shift:

It is possible to change your lent out abbreviation in the schedule in the settings for Departments.

💡 Note: Make sure to double-check that the shift details are correct. Once you save it, the shift belongs to the department you placed the shift in, meaning you cannot edit any details:


How to plan a lend-out with no specific start- and end time

Planning a lend-out without selecting the start- and end time of the shift, means that you allow the other department to plan the shift details.

I saved the lend-out shift, but need to make changes. What can I do?

Since the shift belongs to a different department than your own, you'll need to reach out to the manager in the lend-in department, as they now own the permission to edit the shift.

Can the employee check-in and out in the department it has been lent to?

Yes, time registration can be done both on the web platform (PC/Mac) and the mobile app.
