Learning how to manage the user list, will save you a lot of time when handling tasks that require gathering information on multiple users at the same time. In this article, we'll show you how you can make the most out of the 6 different overviews within the user list to optimize your administrative work.

Locating the user list

The user list is the page you'll encounter as soon as you step into Department - Users - Department users. The view should look something like this:

If you are an administrator, you can also access the user list via Administration - Users - All users. Here you'll see a list of every user you have access to.

The user list contains 6 different overviews:

  • General

  • Contracts

  • Documents

  • Permissions

  • Security

  • Vacation balances

We'll explain each overview below, but let's look at two features that will greatly enhance your overview experience first;

The filter tool

If you want an overview of one or more specific titles, you can select the titles you'd like to view using the filter tool. You can also specify the status of the users, meaning whether they are active or ended users, have not started yet, or is in draft mode.

Note that having access to filter out departments requires that your user card has permission to do so.

The drop-down selector

You can use the drop-down selector to further specify details within each overview. The options will differ depending on which overview you are looking at. That means you'll have contract-related options such as contract start- and end date, salary costs, and contract hours with the contract overview, whereas in the general overview, you'll have options such as name, email, title, and department.

Now that you're familiar with the filter tool and drop-down selector, let's take a closer look at each overview.

General

The general overview will show you exactly what it sounds like it will - all the general information about the users. This includes details such as email, mobile number, address, and birth date. Name, title, department, and salary number are default for all the overviews.

Use the filtering tool and the drop-down selector to tailor the general overview to show exactly what information you want to see.

Contracts

The contract overview includes a few of the same drop-down options as the general overview, but there are a couple of additional details you can choose to see as well, such as; contract hours, salary costs and contract start- and end date.

Documents

This page will get you a complete overview of the users' signed, pending, and expired documents, as well as the total amount of documents per user.

Permissions

Here you'll see how many extra permissions and additional departments the users have access to. This makes it very easy to always keep track of the users' access to the system, so you can make sure no user has too many, or too few, permissions than they should.

Security

Getting an overview of the users' security, will show details such as type of 2FA, last password reset, last login date, and any blocked-access dates.

Vacation balances
