Please note that being able to request an absence, as well as requesting someone else to take your shift, is dependent on your companys general settings in SameSystem. Reach out to your Manager or Administrator for a chat if you can't use this feature, but wish to have it enabled.
Before you start, make sure to check the following:
✔️ You have downloaded the SameSystem Check-In App.
✔️ You have logged in using your email and password.
✔️ You are connected with wifi or using mobile data.
Press the Calendar icon at the bottom menu in the app, and locate the shift you want to request an absence for. In our example, we want to request an absence for our shift on April 17th.
2. Click on the shift, and press Request absence.
3. Select what type of absence you are requesting, and press Next. We are choosing "Day off" in our example.
Please note that the options you see here, are dependent on your company setup.
4. You are presented with two options; with or without a substitute.
With substitute: Select one or more co-workers that might be able to cover for you. Press Next when ready.
Without substitute: The manager will receive the absence request and it is up to her/him to decide whether to try to find a substitute or not. Press Next when ready.
We are hoping Marcus or Michael can take the shift in our example.
5. Here you'll see a summary of the shift details, and the offered substitutes (if any). Notice that you can change the absence type at this step if you want to select another one.
Press Submit when you are ready.
6. Perfect, all done! 🎉 You should see a confirmation message that your absence request has been sent to your manager for approval.
What happens now?
After you press Done, you'll see that the shift is pending approval. Once the request has been approved, you'll receive a notification from the app, and the shift will disappear from your Calendar.
If the manager declines the request, you'll get a notification from the app, and the shift is yours again.
⚠️ Don't forget that you're responsible for the shift until the manager has handled the request.
