How to: Create Daily Tasks

A step-by-step guide showing you how to create daily tasks, so that your managers can use them when planning their schedule.

What are daily tasks? πŸ€”

The Task Management 2.0 feature allows us to apply daily tasks to our schedule, either as a one-time-only task, or by making it a recurring task, going e.g. every day, every week, or every month.

Here are some examples of commonly used tasks:

  • Cleaning (store)

  • Cleaning (backroom)

  • Cleaning (warehouse)

  • Preparing for campaign

  • Delivery of goods

  • Unpacking goods

  • Replenishment of goods

  • Pre-packing gifts

  • Inventory/Stock count

  • Morning meeting

  • Staff training

Prerequisites

  • Enable the setting Use "task management" in General Settings.

  • Enable the setting "Use hourly budget" in General Settings under the Budget & Weekly Balance tab.

  • Enable the setting "Use hourly budget suggestions" and "Use productive hours suggestions in Department Settings under the Budget & Weekly Balance tab.

  • Enable the setting "Add extra line in Schedule: Actual working hours" in Department Settings under the Department tab.

Who has access to this feature?

By default, only administrators have access to create the tasks. Regional- and department managers both have access to apply the tasks to the schedule once they've been created. General users (typically shop employees), only have access to view the tasks once they have been applied to the schedule. Who has access can be modified with the permission "Tasks"

How to work with daily tasks

Daily tasks are not connected to specific employees, but to department(s). This means that you have the option to create tasks available to use for all your departments, and/or tasks valid only for one/several specific department(s).

When applying a daily task to a schedule (typically done by the department manager), we're asked by the system to set the duration of the daily task. Because of this, the department manager can truly tailor their schedule, and easily keep track of the use of task hours vs sales hours in the schedule.

How to create tasks πŸ› οΈ

Creating a task is both quick and easy! Start by navigating to Administration - Schedule - Types of tasks, or click the button below to go directly.

Next, press Create new at the top right corner to begin creating a new task.

Type in the name of the task, select the task type "daily tasks", pick a color (visible in the schedule), and select which departments should be able to use this task.

Complete the task by pressing Create. You are all done! πŸŽ‰ The task can now be applied to the schedule for the departments you selected.
