View Balance in the Schedule
An employee's balance can be viewed in the balance cell next to the employee's name in the Schedule.
The balance shows the employee's current balance in relation to the planning period and their contracted hours per week.
When you hover over the balance, a tooltip is displayed, providing a quick overview of the calculation behind the balance. The content may vary depending on the configuration.
Balance Colours
The balance is displayed using the following colours:
🟢 Green – The employee has worked the correct number of hours during the period.
🟡 Yellow – The employee has worked overtime during the period.
🔴 Red – The employee has worked fewer hours than required during the period.
Balance Tooltip – Explanation
The content of the tooltip may vary depending on the configuration. The most common fields are:
Contracted Hours in the Period
Shows the employee’s current contracted hours. Any deviations during the period are indicated with an icon.
Planning Period
The start and end dates of the current planning period.
Scheduled Hours
Automatically calculated based on the planning period, contract changes, public holidays, and other relevant factors.
Adjustments (requires permission)
Shows any transfers between scheduling periods or manual changes made to the balance.
Contractual Hours
Contracted hours including any adjustments made during the period.
Total Balance Hours
The total number of hours the employee is scheduled to work during the period.
Paid Out Hours (requires permission)
Hours that have been deducted from the balance and paid out in the payroll period.
Balance
The employee’s current balance in relation to the planning period.
Balance Adjustments
In the Adjustments window, you can click the edit icon next to Adjustments to add or deduct hours from the balance.
You can always preview the effect of the adjustment before saving it.
Note:
You must have the Adjust Balance in the Schedule permission to make changes. The Manage Client Settings permission also grants access.
When making an adjustment, complete the required fields and click Confirm to save your changes. All adjustments are logged in the employee’s history.
Paying Out Balance Hours
In the Adjustments window, you can also pay out hours.
Click the edit icon next to Paid Out Hours to open the relevant fields.
A payout means that hours are deducted from the employee’s balance and paid out in the current payroll period.
You can always preview the effect of the payout before saving the change.
Note:
You must have the Pay Out Balance in the Schedule permission to process payouts. In addition, the correct payroll code must be configured for the payout to be processed correctly.
