⚠ Important: The rules for transferring vacation in Sweden follow Swedish vacation law and your company’s settings in SameSystem. Contact HR or your payroll administrator if you are unsure about your local rules.
How does the vacation year work in Sweden?
In Sweden, the vacation year normally runs from April 1st to March 31st (unless otherwise agreed locally).
This means, among other things, that:
Earned vacation does not automatically disappear at the turn of the year
Unused vacation may, in some cases, be saved, paid out, or transferred, depending on agreements and legislation
SameSystem supports both vacation transfers and compensatory/flex time transfers, when relevant
Before transferring vacation – administrators only
Before performing a transfer in the system, we recommend ensuring that all days in the schedule are approved for the previous vacation year.
If approvals are missing:
Go to:
Schedule → More → Confirm/Unconfirm days
Approve the missing days manually.

How to transfer vacation in SameSystem
When you are ready to transfer:
Go to:
1. HR → Employees → Vacation balances
2. Click Add filter
3. Select Date
4. Enter 01/04/2026 (the first day of the new vacation year)
5. Select all employees by ticking the checkbox in the top-left corner
(You may also select individual employees if the transfer does not apply to everyone)
6. Click Transfer
A pop-up window will appear confirming that vacation and any compensatory/flex time will be transferred from the previous year to the new year.
You may add a clear comment, for example:
“Transfer of remaining vacation from vacation year 2025/26 to 2026/27”Confirm the action.
The transfer is now complete ✔️
Important note about viewing balances
When you filter by 01/04/2026, you will not see the updated balances — this is normal.
The “old” balances can only be viewed by selecting a date in the previous vacation year, for example 31/03/2026.
This date cannot be used for the transfer itself — it is for viewing only 👀
What happens to remaining vacation in Sweden?
According to Swedish vacation law, remaining vacation may:
Be saved for future years (often up to a certain number of days)
Be paid out
Or in some cases expire, depending on local agreements
This is governed by your company’s policies and settings — not SameSystem alone.
