Security on the User Card – Overview

Each user card in SameSystem contains a Security tab where you can manage login and security settings for a user.

In this article, you will learn how to use:

  • Password reset

  • Two-factor authentication (2FA)

  • Login history

The Security tab is located in the user card in the left-side menu.


Password reset

Click Reset password on the right side of the screen to send an email to the user with instructions to reset their password.

If the email address is incorrect, go to the General tab on the user card to update it before sending the reset email.

⚠ Important:

  • It is not possible to manually change another user's password.

  • Passwords can only be changed by users on their own user card.

  • The password reset link is valid for 1 hour.


Two-factor authentication (2FA)

When two-factor authentication (2FA) is activated, users must complete two security steps when logging in:

  1. Enter their password

  2. Enter a verification code received on their mobile device via SMS or the Google Authenticator app


Activating 2FA for users

Because 2FA requires access to the user’s personal mobile device, it is recommended that users set it up themselves.

By default, all users can activate 2FA from their own user card, and no extra permissions are required.

You can share instructions with employees so they can set up 2FA themselves.


Checking who has activated 2FA

To see which users have activated 2FA:

Go to HR > Users and open the Security overview.

Here you can see each user's 2FA status:

  • Empty field → 2FA is not activated

  • Google → 2FA is activated using Google Authenticator

  • SMS → 2FA is activated via SMS code


Login history

Click View history in the Security tab to see the user’s login history.

The list includes details such as:

  • Login date and time

  • Browser type

  • IP address
