Document handling made easy

In this article, we will teach you everything you need to know about handling documents in SameSystem, so you can optimize your administration time when handling tasks regarding documents. We'll learn about the document overview, as well as how to add documents to a user card below.

Where is the Document feature located?

There are two main document areas in the system. Let's take a closer look at both of them.

The Document Overview

The document overview is exactly what it sounds like - an overview of the users' documents. This is the place we want to be when it's more important to see the status of the documents from several users at the same time, rather than the specific document details per employee.

1. Start by navigating to the user list via HR - Users.

2. Click on the overview called Documents. Here you'll see a list of your users, followed by columns describing the status of their documents.

If you click on one of the users, you'll be directed to their user card, where you can inspect, delete, or add documents for that specific user. Notice that you'll be directed straight into the Document tab inside the user card. This is the second main area of the document feature. Let's take a closer look at that now.

The Document Tab

The document tab is found in every single user card. This is where all the documents for the specific user are located. Here we can both add, edit, and delete documents.

In our example, we can see that Josh has one document located in the Newsletter folder, as well as two documents pending signatures connected to his active contract. We'll learn more about different types of documents later on in this article.

We can click on preview, download or the small arrows pointing to the right if we want to see more details regarding that specific document. Here we can also download the document(s), cancel a signature process or delete the document(s) entirely.

Document Bundles

If there is a pattern in the type of contract documents that need to be signed for certain contracts, and who needs to sign them, it's possible to use document bundles. These document bundles are basically pre-structured combinations of documents and signers that will be applied to a contract.


NOTE: The administration in your company is in charge of creating and uploading the document bundles.

How do I upload a document?

None of the categories match the type of document I want to upload

Contact your administration, as they are in control of the setup of the companies document categories.

My file is in .jpg format, but I'm not able to select it when uploading?

We currently support PDF and .docx formats. Please change the format of your file, and try again.

The Create button is grey/not clickable

Make sure you have uploaded a file via the Upload file button.

I uploaded the wrong document!

Head over to the document tab in the user card, and click on the small arrow alongside the document. You'll be directed to a window where you should see a Delete document button.

As an administrator, I would like to upload a document that several users can read. Do I have to upload the document to each user card?

We recommend heading over to Front page - Documents in the main menu instead. Here you can upload documents and decide what titles can access them. Note that the users will find the documents here, not in their user cards.
