How to make Adjustments to the balance
A user’s balance can be viewed from the balance cell next to the username in the Schedule. It shows the users current balance within the planning period and contract hours/week.
For a quick glance, the balance tooltip can be viewed when hovering over the balance cell. The balance tooltip contains all calculations which make up the user’s balance and may vary depending on settings.
The balance status is indicated in colours:
Green: The user has worked the correct amount of hours in this planning period.
Yellow: The user has worked overtime hour in this planning period.
Red: The user has worked undertime hours in this planning period.
Balance tooltip breakdown:
The balance tooltip may vary depending on which settings have been enabled for the balance calculation. These fields are the most common:
Field | Description |
Contract hours/week | The contract hour per week reflects the current contract hours of the user’s contract. There may be deviations in the contract hours during the planning period, this is indicated with a deviation icon. |
Planning period | Shows the start and end date of the planning period. |
Contract hours | This is an automatic calculation based on the planning period and any contract deviations, public holidays, etc., which may have an effect on the contract hours. |
Adjustments (requires permission) | Adjustments may show transfers of balance from the previous planning period or if further changes have been made to the balance e.g., added or deducted contract hours. |
Total contract hours | The total amount of contract hours that the user is calculated to work in the planning period including adjustments. |
Balance hours | Balance hours is the total sum of shifts, absences, public holidays, bonuses and lend outs in the planning period. |
Pay out hours (requires permission) | Pay outs are hours which have been deducted from the balance and paid out during the salary period. |
Total balance hours | The total amount of balance hours that the user is working in the planning period. |
Balance | The balance shows the user’s current balance within the planning period and contract hours/week. |
Edit balance:
To edit the balance, click on the balance cell to open the Edit balance dialog. This tool will allow you to make changes to the balance, depending on which permissions and settings you have enabled.
Adjustments:
Within the Edit balance dialog you can click the edit icon next to Adjustments to make changes to the balance by adding or deducting balance hours. You can at all times see the impact of the adjustments through a preview of the balance impact.
Note: You will need permissions to 'Adjustments to schedule balance' to make adjustments. The permission 'Administration of settings on client level' also gives access to this function. Click here to go to Permissions.
When creating an Adjustments fill out all required fields and press Confirm to save changes to the balance. Changes to the balance are logged and can be found in the User card history; From Schedule.
