All about: the Schedule overview

Learn about the schedule overview: A visualised overview of shift history from the schedule.

This article will suit those departments which have an interest in history logs from the schedule. Note that some of the below features we present, might not be available for you. If you cannot see any data in the schedule overview, or see features you wish to use, please reach out to your administrator to request changing your settings.

What is the schedule overview?

The schedule overview is a detailed history log that collects information from the schedule. The overview shows data from shifts during 3 different stages by default:

  • Published (default)

  • Time registration (default)

  • Confirmation (default)

  • Difference (needs to be selected in columns dropdown)

The default view (what you see immediately) contains info from yesterday, but you can always use the filter tool and column selector to further specify and tailor the overview to your exact needs; Dates, titles, employees, and what sort of difference you want to compare. Let's learn more about this:

Tailor the overview with filters

At the top of the report, click Add filter to see your options:

A filter window will appear, where you can select to filter out by Titles, Users, and Difference. As an example, we have selected store manager titles, three employees, and the difference we want to compare is Published / Confirmed hours. Remember to click Apply to apply the changes:

Choose which columns are relevant to you

In the columns drop-down, you'll be able to change the overall schedule overview to focus on what matters the most for you. Click on the Columns button:

...and select which columns to view in the overview:

Before we continue, please note the following:

👷‍♀️ As a start, the schedule overview will be limited to only show data for one day, up to a full month period, as the performance part is still a 'work in progress' for the current version.
⏳ Be aware that large data sets for a full month period and +25 employees might take a while to load (between 1-5 minutes).


Reading the Schedule Overview

At the top of the report, you'll have the option to see totals for the data shown in the schedule overview, depending on the filter(s) you're working with. As an example, if you look at a full department for one day, you'll see the totals for all employees for that specific day.

Below totals, you'll find one row of information per employee. Let's take a closer look at how to understand this data:

What data to expect in the schedule overview columns

  • Published

In this column, you'll be able to see what has been published in the schedule (how it was planned when you published it). If the initial published planning was changed afterward, we still only show the first planned data.

When looking at the full department, you'll be able to see lend-in shifts to your department, absences, and normal shifts.

If employee filtering is chosen, you'll be able to see lend-outs for each specific employee as well. Be aware, that only lend-ins will be shown in the full department view, as lend-outs are not counted into your full department totals.

  • Time registration

This column will give you the option to see registered, planned, and actual registration. Registered means the time registration done by the employee (affected by rounding rules), while the planned shows how the shift was expected registered for the given shift (if the schedule was changed after it was published, you will be able to see what was planned right before the time registration started).
Actual registration means the specific timestamp when the employee checked in or out. The actual time stamp is shown in parentheses in a tooltip, by hovering over the orange dot:

What about unplanned shifts? You'll be able to see the time registration for unplanned shifts as well if that would be the case for your department. Just like the way we see actual time registration by hovering over the orange dot to see deviations, you'll see "Unplanned shift" as a Deviation description here.

  • Confirmation

In the confirmation column, you'll be able to see what was confirmed through the manager approval flow for the specific day and employee.
Note: The confirmation of a day is done in the actual schedule at the bottom line of the schedule.

What about breaks? By hovering over the question mark icon, a tooltip is presented to show the break placement confirmation for the specific day and employee.

  • Difference

In this column, you'll be able to see the deviation between what was published and what was confirmed.

Tip: Use the filter functionality explained earlier to select different deviations to compare (Published/Confirmed, Planned/Registered, Registered/Confirmed, and Published/Planned).


Print and export options:

Need the overview on paper or data exported? No problem! In the schedule overview header, a print and export option are available, right beside the column drop-down. By clicking on the print button, the default browser print layout will appear. This option is limited to the specific browser being used which means ‘what you see, is what you get”.

The print option is available in Google Chrome, Safari, and MS Edge browsers.

Export data in Excel:

If you need the Schedule overview data exported, an export can be made in Excel. By clicking on the export button, the Export options dialog will appear. From here a customizable data export can be drawn with data from the schedule overview.

Export specifications:

  • The export of data is made in Excel.

  • It is It is possible to export up to one month of data per department.

  • The export can be sorted on date or employee.

  • The data export is customizable. At least one data point must be selected for the export.

Be aware that fields, such as Breaks and Balance hours are dependent on either Published, Registered or Confirmed.
