When you plan with zones, there are a bunch of possibilities that opens up that will help you get an even better overview of your schedule and shift hours. You are able to quickly see how many employees you've planned within each zone, and you can even use zone filters to help facilitate your zone planning by assigning zones to both new and open shifts.
Let's take a closer look to learn how this works so you can get the most out of your zone planning 💪
Zone filter
The zone filter is a tool that allows you to filter the schedule by zone types. It's a great way to quickly see how many shifts are planned within a specific zone, which makes it easier to see where you might need to fill in any empty gaps or remove overplanned shifts, or to simply get an overview of your zone shifts.
In order to use the zone filter, you need to have zones enabled (in settings), created (the actual zones must be configured), and planned (one/more shifts must have a zone applied).
💡 You can check out this article to learn how to enable and create zones, but note that this might be an action limited to your administrators/HQ. Reach out to them if you are not currently but wish to start planning with zones.
As soon as you've applied zones to your shifts, click on the button in the top left corner of your schedule to select which zones you wish to filter on (you can select multiple):
Note: If you do not have zones and the zones filter enabled, you will be seeing the groups filter - which is an existing default feature within the schedule.
The zone filter will be active not only within the schedule grid but also within the new weekly zone graph, the daily view, and in the shift creation flow. We'll learn more about this in the sections below.
After selecting your zone(s) in the filter, the schedule will automatically only show you the users who have a shift planned within the filtered zone/zones, within the period that you are currently viewing:
How zone filters work when creating new and open shifts
As mentioned above, the zone filter will also have an impact on the flow of adding new shifts. Take a look below if you want to learn how:
When one or multiple zones have been selected in the filter, the system will only show the favorite working hours that are created for the filtered zone/zones, on the *action board:
💡 *The action board is the window you see popping up when creating a new shift (image above).
The system will apply the selected zone when clicking the timeline to add a shift (when multiple zones are selected, the system will pick the 1st zone on the list):
Lastly, the system will only show the filtered zone(s), when applying a shift using the add button:
The filter will also be active on the open shifts creation flow. For example, if you have filtered on a zone and you add a new open shift - the system will automatically assign the filtered zone to the shift.
So how do you identify what zone an open shift has in the schedule grid? With colors!🎨 More on this below:
Zone coloring within the schedule grid
To give you a better overview of which zone the open shifts have been created within, we have added a color around the edge of the cell to represent the corresponding zone:
Weekly zone graph
The weekly zone graph provides an interactive overview of how many shifts you have planned within each zone at any time of the day, Monday through Sunday.
Open up your weekly zone graph by clicking on the little graph icon next to the week number on your schedule:
By dragging your mouse over the horizontal timeline, the tooltip will show you exactly how many shifts are planned within each zone at any point throughout the week. Open shifts are also included in the graph, distinguished with a striped pattern:
Zone filter & zone graph within the day view
Open up your day view by clicking on the date in your schedule, right below the week number.
The zone filter selection will be applied to the day view, only showing you users with shifts planned within the filtered zone on that given day:
In addition to that, we have also implemented the zone graph on the day view. This can be accessed either by clicking on any given day within the weekly zone graph, or by toggling it on from the day view.
The zone graph within day view works just as it does within the weekly graph - it gives you an interactive overview of how many shifts you have planned within a zone at any point during the given day.
