Help! I can not see my shifts

This article explains what employees and leader should do when the employee can not see their schedule

Written by Bardia Sheikhany

If shifts or schedules are not visible to employees in SameSystem, it is important to first identify the potential reasons. These could range from contract settings, job title mismatches, or unpublished schedules. Another common reason is improper assignment in Employee view, where shifts added in Zone view are not correctly tied to the employee. Employees should report such visibility issues to their store manager for resolution, such as publishing the schedule if it hasn't already been done. Additionally, shifts may not be visible if the schedule period or template has not been rolled out. This can be resolved by planning a new period and rolling out the schedule in the SameSystem web version.

For leaders - why the employees' schedule is not published, and how to publish Additionally, ensure shifts are assigned in Employee view rather than Zone view to avoid visibility issues.

When a new employee starts, after the schedule is already published, the schedule needs to be published for that one employee individually. To ensure visibility, always assign shifts in Employee view, as this ties the shift directly to the employee.

Troubleshooting Newly Created Shifts

If newly created shifts are not visible in the app, follow these steps to resolve the issue:

  1. Log in to the SameSystem web version on a computer.

  2. Navigate to the Schedule (Vagtplan) section.

  3. Select the option to Plan a New Period for the relevant weeks.

  4. Use the Actions menu to roll out or apply the schedule period/template. Once the schedule period is rolled out, the shifts should become visible in both the web version and the app. Leaders should also verify that the schedule period or template has been rolled out for the relevant weeks, especially when dealing with newly created shifts.

Click on the button for "partially published":

After clicking on the button for "partially published", you will see the employee that the schedule is not published for. Click on where the screenshot has marked as green:

After clicking on the date field, you select month or day (which one you get depends on the publishing interval your administration has chosen). After selecting month or date, the "publish" button will turn blue which you then click to publish the schedule.

I cannot see coworkers' past shifts!
If you can only see your own past shifts and not those of other employees, this is due to your role-based permissions. Limited schedule access only grants visibility to your own shifts. Contact your admin or HQ to have your permissions reviewed if you need broader access.

Schedule view is showing too many or too few days
If your schedule view has changed (for example, showing two weeks instead of one), you can adjust it using the view controls in the schedule. Options include a 3-day view or other available intervals. You can also try adjusting your browser zoom level to fit more or fewer days on screen.
