The Action Board is what you see when you click on a day for a specific employee, both in the released schedule as well as in templates and schedules not yet released. It presents all the actions you can make on the given day, including actions that extend to future days, such as vacation or other periodical absence.
In this article, we will explain how to work with the action board as well as how to use the main actions and functionalities to make your planning routine more flexible, functional and easier.
Favourite working hours
When certain shifts are applied on a regular basis, it's possible to create "Favourite hours". They are shown in the section below the timeline. Click on one of these favourite hours and it'll immediately be added to the day. If no favourite hours have been created, click "Edit favourite hours" to create and manage favourite hours.
Here you can see the Action board when there's nothing planned. In order to add a shift to the day - click on the timeline at the time the shift should start. In the image below a shift is planned to start at 10:30.
Add a shift
In order to add a shift, click on the timeline where you'd like the shift to start.
The working hours can be edited by dragging the edges or moving the entire bar in the timeline. It's also possible to use the time drop-down lists. You can see an example in the image below.
Add absence
Absence can be applied in two ways:
for a specific time-interval
for a full day
For a specific time-interval
Firstly, you create the time block after which you convert it into absence. Click the absence button and then pick the absence type. In the image below, the absence type "Child sick" has been selected.
Please note that if there are already working hours in the period - for instance, planned working hours from 10 to 16, with absence being from 11 to 16, you first need to reduce the working hours to 10 to 11, and then add the absence as a new time block.
Full day absence
By clicking on the "Add day absence" in the upper-right corner you see a list of all the available absence types.
There are two types of Full-day absence types:
Timed absence - counts the same as the number of hours scheduled
Untimed absence - applies for a full day and counts based on a fixed calculation, such as the employee's contract hours
Timed absence
When adding a timed absence, all the shifts are converted to absences. In the image below, there are two shifts, one from 10:00-13:00 and one from 14:00-18:00. After selecting the day absence, both will be converted.
Untimed absence
When adding an untimed absence, the absence will apply for the full day. Furthermore, when adding an untimed absence it's also possible to make them periodical, as shown in the image, which will make the absence extend into the future based on the selected date.
Add lend out
Lend out can be applied in two ways; for a specific time-interval and as an open lend out, which allows the managers in other departments to plan shifts for the employee as it fits their needs.
Lend out for a specific time-interval
To be able to add Lend out for the employee in the Action board, you need to create a time block first. Then click the “Lend out” button and select the department to lend out to. In the image below, an employee has been lent out to 2. "Århus" from 11:00-16:00.
Open Lend out
An open Lend out is added by clicking on the "Add day lend out" button in the upper right corner. Select the departments that can use the open Lend out. The managers of the selected departments are able to plan for the given employee on the day, in the hours where they do not have a shift in their home department.
Open Lend outs can be added for multiple departments and it can be applied for a single day as well as longer periods of time.
Add more time blocks to one day
It's possible to add as many time blocks as you wish - whether it is shifts, absences or lend-outs - for a single day. In order to add a second time block, simply do the same as when adding the first.
In order to edit a specific time block, click it, and all the edit options will appear below.
If you want to remove a time block, click the "Remove shift/Absence/Lend out" button in the right side. To remove all, click the "Clear day" button in the lower right side of the timeline.

Functionalities for Shifts:
Note! Most of the functionalities must be enabled by an administrator.
A shift time block contains a range of different functionalities, which can be used for better and more detailed planning.
Here is a list of different functionalities that can be used in the planning:
ZONES - the zones/areas the employee should work in
TASKS - the tasks that must be carried out
BREAKS - breaks that should be taken throughout the day
NOTES - notes about the shift
Zones
With zones, it's possible to specify in more details what the shift entails, for instance, if the employee should work in the "cashier" zone, "fitting room" zone or a completely third zone. It's also possible to use zones for other things, such as whether it's a morning shift, a midday shift or an evening shift.
Note! It's only possible to pick one zone for a shift, which will change the colour of the given shift, making it easy to quickly spot the zone right from the schedule view.
Tasks
Tasks are objectives that can be planned for an employee throughout the shift, such as visual merchandising or stock-taking. To add a task, click "Add task" on the right side.
In the schedule, there's the "Productive hours" KPI, which tracks hours of sales-capable employees on the floor, and tasks can affect these hours depending on the type. If a task takes the employee away from the floor and makes the person non-capable of sales, these hours will not count towards the "Productive hours" KPI.
Breaks
Breaks can be handled in two ways: As a simple duration, or by adding it in specific time-intervals. Which are available depends on your settings.
To add a break, click "Add break" on the right side.
When adding a simple duration, the system still places the break in the background in the middle of the shift. This is required to calculate the effect it has on working hours and bonuses.
In order to have more control, use break placements, which makes it possible to add one or more breaks at any point throughout the shift. See an example of this in the image below.
It's also possible to specify if the break is an unpaid or paid break. If it's an unpaid break the duration of the break will be deducted from the total working hours. If it's a paid break, the duration of the break will remain a part of the total working hours.
Notes
It's possible to add notes to a shift. This note can be seen by the employee from the web app and the mobile app. To add notes, click the "Add note" button on the right side.
Bonuses
Most bonuses are applied automatically, such as the bonus type "Inconvenient hours", which applies based on the weekday and the time of the day. In some cases, bonuses have to be applied manually, and this can be done by clicking the "Add bonus" button on the right side.
Bonuses can be applied as a duration or as a time-interval.
*Bonus types are created by the administration, and only if the bonus is set to be manual will it be available to apply from the Action Board.
